The short version
Polaris is a professional network where people get referred, get paid for referrals, and build their careers, and where companies hire. We collect the information you give us and a limited amount of technical data to run the Service, match you with opportunities, process payments, and keep the platform safe. You control your profile and can access, correct, export, or delete your data. We do not sell your personal information.
1. Introduction
This Privacy Policy explains how Polaris (“Polaris”, “we”, “us”, or “our”) collects, uses, discloses, and safeguards your personal information when you visit our websites (including getpolaris.ca and app.getpolaris.ca), use our iOS and Android apps, use our tools and calculators, join our waitlist, or otherwise interact with us (collectively, the “Service”).
By using the Service you acknowledge that you have read and understood this Policy. If you do not agree with it, please do not use the Service. This Policy should be read together with our Terms of Service.
2. Who we are & how to contact us
Polaris operates the Service and acts as the controller of your personal information. We are based in Ontario, Canada. For any privacy question, request, or complaint, contact us at privacy@getpolaris.ca or info@getpolaris.ca. If you require a postal address to submit a formal request, email us and we will provide one.
3. Information we collect
The information we collect depends on how you use the Service — for example, whether you are a job seeker, a professional building a profile, or a company hiring through Polaris.
a. Information you provide to us
- Account & identity data — name, email address, phone number, password or, if you sign in with Google or Apple, the basic profile details those providers share with us.
- Profile & career data — work history, education, skills, résumé or CV, profile photo, portfolio, links, availability, salary expectations, endorsements, recommendations, and other details you add to your profile.
- Content you create — posts, updates, comments, messages, circle and group chats, referrals, reviews, screening answers, and other content you submit.
- Company & recruiter data — if you use Polaris to hire, the company profile, job posts, applicant notes and ratings, team members you invite, and related hiring information.
- Payment & payout data — information needed to send or receive money (such as bounties and earnings) is collected and processed by our payment provider, Stripe. We receive limited confirmation and transaction details, not your full card or bank numbers.
- Support & communications — the contents of messages you send us, survey responses, and waitlist sign-ups.
b. Information we collect automatically
- Device & log data — IP address, device type, operating system, app version, browser type, identifiers, crash reports, and diagnostic data.
- Usage data — pages and screens you view, features you use, searches, links you click, and how you interact with the Service.
- Approximate location — derived from your IP address, or more precise location only if you grant permission, to show relevant jobs and salary data.

c. Information from third parties
- Sign-in providers — Google and Apple, when you use social login.
- Employers, recruiters & other users — for example, when someone refers you, endorses you, or a company updates your application status.
- Public & partner sources — publicly available job listings and company information we aggregate to power job search and salary insights.
- Service providers — analytics, payment, and security partners who share limited data with us to operate the Service.
4. How we use your information
We use personal information to:
- Provide, maintain, and improve the Service and its features.
- Create and manage your account, profile, and company workspace.
- Match candidates with roles, surface referrals, and power search, recommendations, and hiring tools.
- Process payments, referral bounties, and payouts, and prevent fraud and abuse.
- Send transactional messages (such as application updates, payout notices, and security alerts) and, where permitted, product and marketing communications you can opt out of.
- Personalize your experience and, on our public pages, show advertising.
- Monitor, investigate, and protect the safety, integrity, and security of the Service and our users.
- Comply with legal obligations and enforce our terms and policies.
- Analyze usage and trends to understand and grow the Service.
5. AI & automated features
Parts of the Service use artificial intelligence and automated processing — for example, an AI profile coach, résumé parsing, candidate–role fit and hire-probability scoring, and AI recruiter agents that draft outreach and screen applicants. These features may process your profile, content, and job data to generate suggestions, scores, and drafts.
AI output can be inaccurate or incomplete and is provided to assist, not to make final decisions for you. Meaningful decisions about hiring remain with the people and companies using the Service, and agent actions such as candidate outreach are queued for human review and approval. We do not use your content to make decisions that produce legal or similarly significant effects about you solely by automated means without a lawful basis and appropriate safeguards.
8. Payments & payouts
Payments (such as subscriptions, featured jobs, and referral bounties) and payouts (such as referral earnings) are processed by Stripe, including Stripe Connect for payouts. Your payment card and bank details are collected and stored by Stripe under its own terms and security standards; we do not store full card or account numbers. Bounties may be held in escrow and released only when a qualifying event (such as a confirmed hire) occurs, subject to fees and holding periods described in the Service.
9. Data retention
We keep personal information for as long as your account is active and as needed to provide the Service, and afterward only as necessary to comply with our legal obligations, resolve disputes, prevent fraud, and enforce our agreements. Financial and transaction records may be retained for the periods required by law. When information is no longer needed, we delete or anonymize it.
10. Security
We use administrative, technical, and organizational measures designed to protect personal information, including encryption in transit and at rest, encryption of sensitive personal data, access controls, and monitoring. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Keep your password confidential and notify us promptly if you believe your account has been compromised.
11. International data transfers
We are based in Canada and use service providers that may store and process information in Canada, the United States, and other countries. Where we transfer personal information across borders, we take steps to ensure it receives an appropriate level of protection consistent with applicable law.
12. Your privacy rights & choices
Depending on where you live, you may have some or all of the following rights regarding your personal information:
- Access the personal information we hold about you.
- Correct information that is inaccurate or incomplete.
- Delete your account and personal information.
- Receive a portable copy of certain information.
- Object to or restrict certain processing.
- Withdraw consent where processing is based on consent.
- Opt out of marketing at any time.
You can update most profile information directly in the app, opt out of marketing using the unsubscribe link in our emails, and request account deletion via our account-deletion page. To exercise any other right, email privacy@getpolaris.ca. We will respond within the time required by applicable law and may need to verify your identity first. You will not be discriminated against for exercising your rights.
13. Regional privacy disclosures
Canada
We handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws. You may contact us to access or correct your information or to raise a concern, and you may also contact the Office of the Privacy Commissioner of Canada.
European Economic Area & United Kingdom
If you are in the EEA or UK, we process your personal information under lawful bases including performance of a contract, our legitimate interests, your consent, and legal obligations. You have the rights described above and may lodge a complaint with your local supervisory authority.
California & other U.S. states
We do not sell or “share” personal information as those terms are defined under the California Consumer Privacy Act. Residents of California and certain other states may have rights to know, delete, correct, and opt out of certain processing, which you can exercise using the contacts above.
14. Children’s privacy
The Service is not directed to children under 16, and we do not knowingly collect personal information from them. If you believe a child has provided us personal information, contact us and we will take steps to delete it.
15. Third-party links & services
The Service may link to or integrate third-party websites and services, including employer sites and job sources. We are not responsible for their content or privacy practices. Please review the privacy policies of any third party you interact with.
16. Changes to this policy
We may update this Policy from time to time. When we do, we will revise the “Last updated” date above and, for material changes, provide additional notice through the Service or by email. Your continued use of the Service after an update takes effect means you accept the revised Policy.
